Following tips help you to learn a software in lesser time and in an efficient manner:

1. After installing a software package, look for any README file in the installed folder. Besides company and product details, it may give an overview of features, usages and limitations of the software.

2. Next run the software and have a feel of the look of the software.
Identify the different parts of its main screen.

3. Look for the information shown in the TITLE-BAR of the main screen.
Usually, it shows the product name. If the application is SDI (Single Document Interface like Notepad) or MDI (Multiple Document Interface like MS Word) then title-bar will also contain name of the opened file. Similarly, there may be STATUS-BAR at the bottom that shows the operation being performed.

4. Then comes the main MENU-BAR. Most of the GUI based software have common menu-items. So its better to learn once-for-all. Some of the common menu-items are:

FILE, EDIT, VIEW, TOOLS, WINDOWS, HELP.

Each of these names are intuitive itself.

-The FILE menu will have operations NEW, OPEN, SAVE, SAVE AS, PAGE SETUP, PRINT,CLOSE and EXIT.

-Similarly, EDIT menu contains editing operations like CUT, COPY, PASTE, FIND AND REPLACE.

-The VIEW menu helps in controlling the view of the software GUI. You can switch on-off various toolbars.

-The TOOLS menu usually have options to customize the software you like and also other supporting functionalities like Read-Aloud function in a word processor package.

-The HELP menu may contain GETTING STARTED tutorial, detailed indexed and searchable help and ofcourse, a popup dialog-box that shows information about the software. It may also contain a link to website of the product.

5. Once acquainted with different menu and their menu-items, look at each menu again to find shortcuts to them. For example, Alt+F will take you to File menu. Some common shortcuts are:

Ctrl+N - New
Ctrl+O - Open

Ctrl+S - Save
Ctrl+Shift+S - Save As

Ctrl+P - Print
Ctrl+X - Cut

Ctrl+C - Copy

Ctrl+V - Paste
Ctrl+F - Find

6. Next have a look on various tool-bars that are present below menu-bars. They provide a visual shortcut to the desired operation. Examples are a paper folder on top right corner for NEW, an opened folder for OPEN, a scissor for CUT, two papers for COPY, a paper on clamp-pad for PASTE, floppy icon for SAVE and printer ICON for PRINT. A book or question mark icon represents HELP.

7. If the package is a development tool then start with the sample applications provided with it. It will help you understand what functionality level the package can provide. Also, you may need not start your application from scratch; it can be dervied from one of the sample application (provided source code is available).

8. Mostly, the menu-item name will tell its functionality. Even if it does then also try each operation available in the package.

9. You can master a software with its usage and little study. The best place for getting some help is the in-built help provided in the package itself.

10. Remember Internet is always there to solve your problem. Use a search-engine with appropriate phrase to get the best material available as solution to your query. As an editor for a few newsletters, I write to readers who write or complete feedback surveys. One of the newsletters gets several hundreds of responses with every issue. If that sounds overwhelming, the first issue alone got over 1000 responses! I use a few methods for handling large email jobs and use whichever depending on the mood. This one covers Word merge.

Anyone who has used Word’s merge features for letters and envelopes can do this using the same method by choose “E-mail messages” as the document type instead of the others. It works seamlessly with Outlook. Although, the help file indicates email merge works with any MAPI-compatible email program.

Information on merging Word docs with other email apps such as Eudora, Mozilla, and Pegasus is non-existent. If you know something, please comment.

Here are the steps for mail merge with Word, Excel, and Outlook done in Office XP (2002):

Create a basic letter template with the standard elements found in every letter. Such as the introduction, closing, and maybe a paragraph. We’ll call this Template.doc.

Also, most surveys have first and last name in the same column rather than as two separate columns. If this is the case as it is in this example, you can split it up with this trick. Insert five blank columns after the Name column. Select the Name column > Data > Text to Columns > Delimited > Next > Untick ‘Tab’ and Tick ‘Space’ > Next > Finish > OK (to replace columns).

We enter five blank columns because some people put names like John J. R. Doe, Jr., which takes up five columns. Better safe. After it’s done, you can delete the extra columns. Give the columns the correct heading names (FirstName, LastName).

Open new Word document (yes, you could use an existing document, but I’d rather mess up a fresh one than an existing one).

Tools > Letters and Mailings > Mail Merge Wizard

In Select document type, check “E-mail messages”Click “Next: Starting document.”In Select starting document, check “Start from existing document.”

Select the generic letter template aka Template.doc. If this is not in the list, select “(More files…)” to find the document.

Click “Next: Select receipients.”

In Select receipients, check “Use an existing list.” In Use an existing list, select “Browse.” Browse for the Excel file with the data > click on the file > Open. Click OK > OK (you can select data like blank lines to omit from the mail merge). Note: Make sure Excel has only one tab in use (worksheet) otherwise it gets messy.

Click “Next: Write your letter.” Add the fields into the letter. In this case, we’ll use “FirstName.” Add it from the Mail Merge toolbar - it’s the icon to the left of “Insert Word Field.” To get the toolbar, click Tools > Letters and Mailings > Show Mail Merge Toolbar.

Click “Next: Preview your letter.” Follow the steps based on your needs. Here is where you can personalize each letter. OR, you can do what I do. I have Outlook set so that it won’t automatically send anything. In this case, all the emails go in the OUTBOX. I move them into DRAFTS where I personalize each one and hit send so they go back into the OUTBOX ready to go.

Click “Next: Complete the merge.” (With preview) Here you can test to make sure messages show up correctly by clicking “Editing individual letters.”

Click “Next: Complete the merge.” (Without preview and send the email). Warning - when you start this process, it sends the emails right away. It does NOT wait till you click Send. Click on “Merge to E-mail” icon (second from the right in the Mail Merge toolbar).

It’ll ask for the subject line (see notes below) and you enter the info. From the “Mail format” drop-down, select “Plain text” or “HTML.” [Note: If nothing happens… No error message… The emails don’t go out… then try selecting “Plain text.” Also, Outlook should be your default email app.

When using “Plain Text,” you may get popups saying “A program is trying to automatically send e-mail on your behalf…” for every email sent.] You can prevent Outlook from sending the emails by going to Tools > Options > Mail Setup > Untick “Send immediately when connected.” If you can do this, then you can customize each email by going into the Outbox and editing the emails. If you can’t do this, go to the next paragraph.

If you cancel in the middle of the process, it will still send the emails you’ve done anyway even the canceled one. Cancel has no meaning in the process.

It isn’t a pretty process, but there are other options that work better.

A few words about MS Windows stability. To those with home computers this may be less of an issue but for people whose livelihoods depend on their PC’s and the programs that run on them, there are some lessons to be learned. I would like to point out a few of the most important things you can do to keep your computers up and running.

To begin with, there are 3 applications you must have that provide the foundation for a stable Windows system. The first is a virus scanner. Viruses present a threat to just about any device that has software installed on it, including cell phones. Viruses can be transmitted through email, software programs, surfing the Internet, sharing information with other users through diskettes, zip disks, tapes, etc. Many of the early viruses were spread by Eastern Bloc countries and countries behind the now defunct Iron Curtain. Wouldn’t surprise me if this becomes a popular venue for terrorists.

Ever notice your Internet browser slowing down, or strange icons appearing on your desktop, or maybe your browser’s home page has changed and you can’t change it back. These are all indications that you have been the victim of spyware/adware. These are insidious little programs that get installed on your system by hackers and advertising companies through emails, software and music downloads, Instant Messaging and Internet browsing. This is such a big problem that Dell reports that nearly 20% of their tech. support calls involves Spyware/adware.
The third application and your first line of defense is a firewall which can consist of hardware, software or both that sits between your computer and the “outside” world, whether it’s the Internet, Intranet or a network. If you have Windows XP you already have that as an option and it is automatically implemented. (Make sure you have ServicePack 2 installed, which insures it is properly implemented) For those of you with previous versions of Windows there are software programs you can either download for free or purchase that will accomplish the same thing.

The next thing you can do is perform periodic maintenance. This can prevent many problems, especially over time. The good news is that you don’t have to purchase or install anything because Windows comes standard with some of these tools. Go to Accessories > System tools. There you will find Disk Cleanup and Disk defragmenter. These are two applications that can go a long way towards keeping your system healthy. Depending on how you use your system, you should perform these at least once per month.

There is another thing you can do that is even overlooked by many computer “specialists”. DO NOT load an application or program on your Windows system unless you absolutely need it. The more applications you load on your system the more you destabilize Windows. Even if you install a program and then immediately uninstall it, there are still remnants of it that linger on your system and can act like a time bomb. I am a firm believer in the KISS (Keep it simple, stupid) method when it comes to Windows. And this includes those “helpful” desktop utility programs that purport to add, “much needed capability” to your system.

Another thing you can do for your Windows is to periodically update your systems. Microsoft provides updates on their website not only for Windows, but also for their applications as well. You can setup your system to automatically perform updates but this is a double-edged sword. I’ve seen cases where someone sits down in front of their computer in the morning and found their system totally corrupt after having been automatically updated while they slept. Some would argue that this may have been caused by a system that was already marginal to begin with, but I prefer to perform the updates manually. But however you do it, this is a very important process that should not be neglected.

The last point I would like to make concerning Windows stability addresses the hardware that your Windows is installed on. I am a firm believer in keeping your PC on ALL the time. Assuming it is protected from electrical anomalies with surge protectors and Uninterruptible Power Supplies and also assuming that you have the requisite security systems in place, you will find that your hardware lasts longer, including your hard drive if you keep your system on. Some will argue that newer technologies suggest that you should turn them off at night but my experience has proven otherwise. A classic example is a light bulb…it is much more likely to fail when you turn it on rather then when it is being used. This has to do with the initial surge of current your light bulb (system) encounters when power is first applied.

I recently called for technical support from my ISP, (because I could not connect about my issue any other way I tried,) to check with them about an issue I wanted to confirm my own suspicions about.

After spending a half hour on the phone with the foreign gentleman, I decided to end the conversation because we were not connecting well. Following the call, I received an email from the “engineer” who attempted to answer my question. Here are actual excerpts from that message:
“hi John,
i am mailing this link for u to get ur problem of bouncing back emails be fixed pls make sure that u down load the software and run it on ur computer,
the link is (excluded)
with regards
Sam
technical voice support”

Now, in my own background, I provided complex support at an engineering level for a number of companies, and though I could not always give customers the answers they wanted to hear, I did use reasonable English in my vocal and written correspondences. In this particular case, the advice I received did not even come close to identifying the real problem, much less an adequate solution. Communications like the one above have become the norm for today’s quality of support, because they took it away from us to save the company money and please the shareholders. Proportionately, the shareholders of such companies receive a far smaller cut of the improved profits than the executives that choose to do business this way.

One thing I am certain about; I would have been fired the same day I produced a customer response like the one shown above. If we need to go to a far away land to find this quality of communication, perhaps we could obtain the equivalent of an HB-1 visa in that country to have the opportunity to train them how to speak and write in English. If American customers are not worthy of receiving adequate English speaking support in their own country, what does this tell us about the value of our consumer dollars and our work ethics?

Seeking to do business with an uneven playing field will result in the ultimate degradation of the priority objective for preserving the prosperity and focus on the people we serve in this country. For American businesses, raising the standard of living for foreign interests should not be a higher priority than preserving our own.

It could just be me, but my experiences with document collaboration remind me of a football game. It sounds crazy, I know, but working with a group and sending emails off to other members of the group caries with it that familiar uneasy sensation of Thanksgiving Day football games, where I often play quarterback and just as often wonder whether members of my family will catch the pass, and if they do, what they will do with the ball. Using groupware in document collaboration is similar to having a game plan that separates the “Turkey Bowl” family football team from the real competitors.

Groupware on Three

Now, this doesn’t have to be the team cheer. But it could be, because groupware is distinguished from other document collaboration software by three characteristics designed to work the way businesses do. Since businesses frequently experience ad hoc document collaboration, groupware designed using Digital Thread, Digital Signature, and Version History most effectively manages and controls ad hoc editing and keeps businesses informed.

As a document manager, groupware helps businesses piece together the puzzle of ad hoc document collaboration. However, when sifting through the millions of indexed pages under “groupware” in any search engine, it is important to know what you are looking for. Digital Thread

Business collaboration requires a lot of document sharing through email. Often document sharing creates a lot of confusion. Emails are being sent out, drafts are being edited, drafts are being saved in multiple locations, and changes are getting sent back to you out of order. Everything is jumbled up like a dog pile of lineman at the end of a play. The temptation at this point is to be a ball hog, and to run the ball ourselves. In football, Steve Young could do it, but in business, nobody can. It just doesn’t work.

The Digital Thread literally threads document versions together, so that all of them are tracked and none of them get lost. Information is placed in the metadata of the document you are working on. This metadata is traceable and identifies various versions of documents, changes made, and locations stored, proving groupware to be an effective document manager.

Digital Signature

A Digital Signature opens up in emails sent and received, which displays the location of the most recent document and the version you are currently receiving. The Digital Signature takes the guesswork out of document collaboration.

Version History

As mentioned before, document versions are sent back and forth throughout document collaboration; however, groupware that utilizes Version History creates and displays a flowchart of where the document has been and when it was there.

Version History is an essential groupware tool, especially when merging time rolls around. Version History puts everything in its proper place in order to eradicate the normal confusion of ad hoc document collaboration.

As a content management tool, groupware utilizes these three tools not only to track the ad hoc collaboration but also to help piece the document back together again with simplified merging procedures.

Unlike the Turkey Bowl, collaboration with groupware will make a team play - even if it is ad hoc-successful.

An award-winning Web browser strictly for Mac users.
Cost is 29.95. Features include ad blocking, history
searching, website change notifications, even speech
recognition. This is one powerful piece of software.

5) Netscape Navigator:
http://channels.netscape.com/ns/browsers/default.jsp

Although Netscape doesn’t have the market share it
enjoyed in the “old days”, it’s still alive
and well. Netscape 7.1 is based on Mozilla 1.4;
both programs are almost identical. Free to download.

6) FireFox: http://www.texturizer.net/firebird

Firefox (aka Firebird) is actually a stripped down version
of Mozilla and built for speed. It’s only a browser with
no built-in email client, so if you need email you’ll
want to download its companion, Thunderbird, at
http://www.mozilla.org/products/thunderbird

Those who love Mozilla will find many of the same
features here. With Firefox you can block pop ups,
customize the toolbars, even change its appearance
with the use of themes. For Windows, Linux and Mac
users. Free.

These are the heavyweight alternatives to MS Internet
Explorer, but if you’re looking for something a bit
different you’ll want to take a look at some
of these browsers:

A tabbed browser that’s really fast and allows you
to view multiple websites in a split window interface.
Free.

2) SlimBrowser: http://www.FlashPeak.com

A Windows-based browser with a price tag of zero.
It’s easy to customize the look of this browser
with the use of skins. Includes a spell checker,pop
up killers, and a tool for filling in forms. Also
includes a language tab for translating different
languages.

3) MyIE2: http://www.MyIE2.com

Fashioned after Internet Explorer, this tabbed browser
is served up at no charge, but they do ask for donations
if you’re feeling especially charitable.

4) NetCaptor: http://www.NetCaptor.com

Built on top of I.E.’s interface (without the security
flaws), it’s another tabbed browser for power users. Free
version is called “Personal Edition,” which contains
sponsored ads or you can upgrade to “NetCaptor Pro” for
only 29.95.

If you’re not happy with Internet Explorer, or maybe
you’re just ready to try something new, download one
of these browsers and take “her for a spin.” Like a
new Car you just meant to take for a “test drive,” you
may fall in love and decide to keep it permanently.
